1. Who we are and scope

Prenten.AI Pty Ltd (Prenten AI, we, us or our) develops and supplies robotics, artificial intelligence and related services. Sport services may be marketed with our partners under the MGM Prenten name. This statement applies when Prenten AI is responsible for handling personal information. A customer, school, club, league, employer, site operator or partner may also provide its own privacy notice and remain responsible for its use of information.

We handle personal information in accordance with the Privacy Act 1988 (Cth), including the Australian Privacy Principles, where they apply to us. We also account for applicable surveillance, workplace, education, child-safety, health-records and sport-governance requirements in the places where a service is delivered.

Customer-operated services. When we process information only on a customer’s instructions, please direct requests about that information to the customer first. We will assist the customer as required by our contract and applicable law.

2. What we collect

The information we collect depends on how you interact with us and which service is used. It may include:

  • Identity and contact details, such as your name, role, organisation, email address, telephone number and enquiry details.
  • Account and service information, such as login details, permissions, support requests, programme enrolment and service usage records.
  • Images, audio and sensor data, such as photographs, 360-degree video, LiDAR or point clouds, location, movement and equipment telemetry captured by a robot or connected device.
  • Learning information, such as a student identifier, class or year level, activities, submissions, attendance and learning progress.
  • Sport and performance information, such as player identity, position, video, location, speed, workload, biomechanics, tactical events and return-to-play indicators.
  • Technical information, such as IP address, browser type, device and network information, security logs and records generated when you use our website or services.
  • Business records, such as contracts, billing details, supplier information, safety inductions and authorised-user records.

Some sport, health, biometric, disability, cultural or educational information may be sensitive information under Australian law. We collect it with consent where required, or where another lawful exception applies, and only when reasonably necessary for the relevant function or activity.

We collect information directly from you where practical. We may also receive it from your employer, school, parent or guardian, coach, club, league, programme coordinator, site operator, our business partners, connected sensors, or publicly available sources. If you do not provide requested information, we may be unable to provide the relevant service, access or support.

3. Sector-specific information

Construction, industrial and infrastructure

Robots used for site inspection, progress monitoring, safety patrols and quality assurance may incidentally capture workers, visitors, vehicles, licence plates, voices, locations or other identifying details. Site imagery, BIM comparisons and point clouds may also reveal work patterns or restricted areas.

Before deployment, Prenten AI and the site operator define authorised areas, purposes, access controls and retention settings. The site operator is generally responsible for required workplace notices, consultation, signage, permissions and lawful deployment. We do not use site data for unrelated employee monitoring, facial recognition or automated employment decisions unless that use is separately agreed, clearly notified and lawful.

STEM and schools

We minimise information collected about children and students. Schools generally manage enrolment, notices and parent or guardian permissions and tell us which staff and students may participate. We use student information to deliver and support the programme, provide authorised dashboards, protect safety and report agreed learning outcomes.

We do not sell student information, use it for targeted advertising, or build advertising profiles. We do not knowingly seek sensitive information from a child without the school’s authorisation and any consent required by law. Student access is limited to authorised school personnel and service providers who need it to perform their role.

Sport and athlete intelligence

Sport services may generate detailed video, location, workload, biomechanical and performance profiles. Some of this information may be sensitive or health information, particularly where it relates to injury, fatigue or return to play. We collect and use it with the athlete’s consent where required, or under another lawful basis arranged with the relevant club, league or programme.

Access is limited according to agreed roles, for example athletes, coaches, performance staff and authorised medical personnel. Customers must not use Prenten AI outputs as the sole basis for medical diagnosis, selection, disciplinary action or another decision with a significant effect on a person. Any biometric identification feature requires separate assessment, clear notice and consent where required.

4. How we use information

We use personal information for purposes including:

  • providing, configuring and improving our robotics, software, STEM and sport services;
  • running inspections, analytics, dashboards, alerts and customer-requested reports;
  • managing accounts, contracts, billing, support, demonstrations and enquiries;
  • maintaining safety, security, reliability, audit logs and fraud prevention;
  • meeting legal, regulatory, insurance and incident-response obligations; and
  • sending relevant business communications where you have consented or the law otherwise permits, with an option to unsubscribe from marketing.

We may use information that has been de-identified so that it is no longer reasonably identifiable for research, service improvement and statistical reporting. We do not sell personal information.

We will seek permission before using identifiable customer data to train a general-purpose AI model, unless the use was already clearly disclosed and lawfully authorised. Contract-specific settings may further restrict how customer information is used.

5. Disclosure and overseas access

We may disclose personal information to the organisation that arranged the service; authorised users; Prenten AI and MGM Prenten personnel and partners; professional advisers; insurers; regulators; emergency services; and suppliers that provide hosting, communications, security, support or analytics services. We require service providers to protect information and use it only for authorised purposes.

Our services may use cloud infrastructure, including Microsoft Azure. Depending on the agreed deployment and support arrangements, information may be stored in Australia or accessed from another country where we or a supplier operates. Before an overseas disclosure, we take reasonable steps required by Australian Privacy Principle 8, including contractual and security safeguards, unless an exception applies. Customers can ask us about the locations relevant to their service.

We do not currently use non-essential advertising or analytics cookies on this website. If that changes, we will update this statement and provide any choices required by law.

6. Your choices and rights

You may ask us to:

  • confirm whether we hold personal information about you;
  • give you access to that information or correct information that is inaccurate, out of date, incomplete, irrelevant or misleading;
  • withdraw consent for future processing where our processing relies on consent;
  • stop direct marketing and tell you, where required, how we obtained your details; or
  • consider another request available under applicable law.

We may need to verify your identity. Legal exceptions can apply, and withdrawing consent does not affect earlier lawful processing. If a school, employer, club or other customer controls the information, we may refer your request to that organisation.

7. Security, retention and data incidents

We use technical and organisational safeguards appropriate to the nature of the information and service. These may include access controls, encryption, logging, network protections, secure development practices, staff confidentiality requirements and on-device or edge processing where suitable. No method of storage or transmission is completely secure.

We keep personal information only for as long as needed for the purpose for which it was collected, our customer agreement, safety and audit needs, or legal obligations. Retention periods vary by service and may be configured with the customer. We then delete, securely destroy or de-identify the information where lawful and practical, including in managed backups according to their normal lifecycle.

We maintain processes for responding to suspected data incidents. If an incident is likely to result in serious harm, we will assess it and notify affected people and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

8. Contact, complaints and changes

For privacy questions, requests or complaints, contact Prenten AI at paul@prenten.ai. For a sport-specific matter, you may also contact MGM Prenten at gosh.daher@mgmprenten.com. Please describe your request and the service or organisation involved.

We will acknowledge and investigate privacy complaints within a reasonable time. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

We may update this statement when our services or legal obligations change. The effective date above shows when it was last revised. Material changes will be communicated where required.
